What a law firm email signature should include
A law firm email signature has two jobs: help the reader reach the right person quickly, and protect confidential communications. Keep it to what a client, opposing counsel or court clerk actually needs:
- Full name and title (partner, associate, paralegal)
- Firm name
- Direct phone and main office number
- Email and website
- Office address, if clients visit you
- Where you are licensed, if you work across state lines
- A confidentiality notice
Leave out inspirational quotes, long lists of awards and social icons nobody clicks. Every extra line makes the signature harder to read on a phone, and every image is one more thing that can be blocked or flagged as spam.
Do lawyers need a disclaimer in their email signature?
Most firms add a confidentiality notice to every email. It asks anyone who receives a message by mistake to tell the sender and delete it. Whether such a notice protects privilege by itself is debated, and courts look at the circumstances rather than the footer, so treat it as a sensible warning rather than a shield. The bigger protections are checking the recipient before you hit send and using secure portals for sensitive documents.
Some firms also add a line saying that an email does not create an attorney-client relationship. That helps when you answer enquiries from people you have not agreed to represent. The generator offers both versions. If your firm’s website needs the same kind of wording, our attorney website disclaimer generator drafts it for every page type. Whether your state’s advertising rules apply to particular emails is a question for your state’s rules.
Email signature design tips for attorneys
Make phone numbers tappable
Most clients read email on a phone. The generator turns every number into a tap-to-call link, so a client can reach you in one tap.
Host the logo online
An image pasted from your computer often turns into an attachment or disappears. Upload the logo to your website’s media library and use that link. Keep it small – around 90 pixels wide is plenty.
Use the same signature across the firm
A consistent signature looks more professional and makes changes easy when you move office or add a phone line. Fill in the generator once per person with the same layout and colour.
Add a booking link
If prospective clients can book a consultation online, a small button in your signature removes a round of back-and-forth email.
Frequently asked questions
How do I add this signature to Gmail?
Click Copy signature, then in Gmail go to Settings, See all settings, General, Signature, Create new. Paste the signature into the box and click Save Changes at the bottom of the page.
How do I add it to Outlook?
Click Copy signature, then in Outlook go to Settings, Mail (or Accounts), Signatures, New signature. Paste it in, choose it as the default for new emails and replies, and save.
Why is my logo not showing?
The logo has to be a public image link, such as a file in your website’s media library. Images saved only on your computer will not appear in other people’s inboxes.
Is an email confidentiality disclaimer legally binding?
Not on its own. It warns accidental recipients and signals that the content is confidential, but courts look at the full circumstances. It is a sensible default, not a substitute for careful sending.
Should my email signature say where I am licensed?
If you practice in more than one state or near a state line, listing your admissions avoids confusion about where you can advise. Check your own state’s advertising rules for anything more specific.
Is anything I type stored?
No. The signature is built in your browser and nothing is sent to us.
